Business Manager This position is responsible for assisting the property manager with all aspects of occupancy on the property, rent collections, and the day-to-day administrative operations of the property.
Responsibilities include ensuring vendor compliance, assigning purchase orders, processing invoices, preparing bank deposits, collecting rent, maintaining resident ledgers, processing bond paperwork, final statements for move-out, and retaining current tenants through renewal efforts.
Essential Duties & Responsibilities Oversee property occupancy, including available leasing vacancies, renewing existing households, walking households with delinquent rent, planning for collections or eviction, and accurately documenting skips.
Oversee, approve, and prepare all lease-related paperwork accurately and timely.
Must be able to communicate and explain all lease documents to new and existing residents.
Ensure all documents are completed before the resident's move-in.
For the collection, posting, and deposit of rent payments.
As required, assist with all daily, weekly, and monthly financial, leasing, and bond reports.
Work with Property Manager to direct the efforts of the on-site staff to ensure apartments are ready for move-in and are maintained satisfactorily.
Oversee and maintain high company customer service standards.
Respond to resident requests and work with residents to minimize and resolve resident problems and complaints.
Follow through to ensure issues are resolved.
Oversee and maintain prospect, traffic, and leasing data.
Oversee and input the necessary data for property operations and leasing in the computer.
Oversee and follow established policies and procedures regarding the qualifications, screening, and acceptance of applicants for residency.
Oversee and follow the property lease renewal program.
Maximize resident renewals.
Assist the Property Manager in reviewing email and phone inquiries and ensure they are directed to the appropriate staff member.
This includes checking the property email box, voicemails, and answering service.
Maintain vendor data, purchase orders, invoices, and utility logs, and respond to vendor questions regarding payment status and processing.
Participate in company training classes and meetings as required.
Special projects or additional duties assigned by a supervisor that is essential for the property's operations.
Identifies and reports any problem which could be a hazard or potentially dangerous for residents, staff, guests, and the public.
This includes the condition of pool gates, fencing, lighting, trip hazards, etc.
